Best merchant of record options for individuals and sole traders
Many merchant-of-record services market themselves to founders, but individual eligibility is not universal. A platform may accept a natural person, require local self-employment registration, depend on a payout partner’s country list, or approve only certain digital products. Check the legal form and payout path before integrating an API.
Start with your legal status, not the fee
An individual account usually still requires identity verification, tax residency, and lawful business activity. Waffo Pancake explicitly supports solo founders without an LLC; Paddle has individual and sole-trader paths; Lemon Squeezy and Gumroad document individual owners; Creem requires natural-person sellers to be properly registered as self-employed or a business where applicable; Polar follows Stripe Connect Express business-type rules by country.
For mainland China, verify the payout route first
Waffo Pancake currently publishes CNY payouts to a mainland Chinese bank card or Alipay and says a company is not required. Polar’s current payout-country list includes Hong Kong and Macao but not mainland China. Other providers may rely on a supported bank or verified PayPal account, so approval and a usable withdrawal route should be confirmed before development starts.
Prepare the common verification package
Expect to provide a government ID, legal name, address, tax residency, product website, product description, pricing, refund policy, privacy policy, and payout account. Companies may also need registration documents, ownership percentages, beneficial-owner identities, and representative authority.
Match the product to the acceptable-use policy
Merchant-of-record approval is product-specific. Software, SaaS, ebooks, downloadable files, and eligible courses are common fits. Physical goods, pure services, regulated products, marketplaces, financial products, high-risk content, or products with unclear ownership can be rejected even when the seller’s identity is valid.
Calculate the payout floor as well as the sale fee
Headline transaction pricing does not show every cash-flow constraint. Gumroad’s standard payout threshold is $100, Lemon Squeezy’s is $50, and Waffo Pancake publishes a 1% payout fee with a $10 minimum. Include refund, dispute, FX, payout, and holding-period terms before deciding which platform leaves the most usable cash.
Common questions
Can I use a merchant of record without an LLC or company?
Yes on some platforms, but not automatically everywhere. Waffo Pancake explicitly says solo founders can onboard with personal identity. Paddle, Lemon Squeezy, and Gumroad also document individual paths. Creem requires lawful self-employment or business status where applicable, and Polar depends on the seller country and Stripe Connect Express.
Which option has the clearest mainland China payout path?
Among the official sources reviewed here, Waffo Pancake most explicitly documents personal onboarding plus CNY payouts to a mainland Chinese bank card or Alipay. Confirm the live onboarding screen, fees, and account approval before relying on it.
Does individual onboarding remove tax obligations?
No. The merchant of record handles covered transaction taxes such as VAT or sales tax, but the seller still reports payout income and maintains any required local self-employment or business registration.
What should I prepare before applying?
Prepare identity and address documents, tax information, a live product website, transparent pricing, terms, refund and privacy policies, product access for review, and a payout account in the same supported country or legal setup.
